Cloop (“we”, “our”, “us”) is a lead management CRM operated by Cloop Book. This Privacy Policy explains how we collect, use, and protect your information when you use our service at app.cloopbook.com.

2. Information We Collect

  • Account information: name, email address, company name
  • Lead data you enter into the system
  • Zoom account information (name, email, account ID) when you connect your Zoom account
  • Meeting registrant data received via Zoom webhooks
  • Usage data and log files

3. How We Use Your Information

  • To provide and operate the Cloop CRM service
  • To automatically capture leads from connected integrations (e.g. Zoom)
  • To send transactional emails related to your account
  • To improve our service and fix issues

4. Zoom Integration

When you connect your Zoom account, we store your Zoom account ID, name, and email address to link your account. We do not store Zoom OAuth tokens after authentication is complete. Meeting registrant data received via Zoom webhooks is stored as lead records in your account.

5. Data Storage & Security

All data is stored in a secured MySQL database. We use HTTPS (TLS 1.2+) for all data transmission. Access to data is restricted to authorized personnel only.

6. Data Sharing

We do not sell, trade, or share your personal data with third parties except as required to operate the service (e.g. hosting providers) or as required by law.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Disconnect third-party integrations at any time

8. Data Retention

We retain your data for as long as your account is active. Upon account deletion, all associated data is permanently removed within 30 days.

9. Cookies

We use session cookies only for authentication purposes. We do not use tracking or advertising cookies.
